Communication Management Plan

Instructions

Use the communications plan template provided here and the “Running Case” on page 436 of the textbook to complete the following task for the Recreation and Wellness Intranet Project.

Prepare a communications plan to address the many challenges described in the “Running Case” by using the following as a guideline.

A communications plan is written to define the communication requirements needed to successfully execute a project and describe how information will be distributed. Your communications management plan should consist of the following elements:

  • what information needs to be communicated—include the level of detail and format;
  • how information will be communicated (e.g., meetings, email, telephone, web portal);
  • when information will be distributed—how often and whether communications will be formal or informal;
  • who is responsible for communicating project information;
  • communication requirements for all project stakeholders/team members;
  • what project resources are allocated for communications;
  • how changes in the communication process are managed;
  • identification of constraints, internal or external, which affect project communications;
  • identification of templates, formats, or documents the project must use; and
  • the escalation process for resolving any communication-based conflicts or issues.

Answer preview

Many organizations normally find it important to design a communication management plan (Phillips and Tush, 2008). This is because it acts as a guide to the members at different levels in the organization regarding the smooth flow of information from the source to the ultimate recipient. This normally helps in saving time and also in general efficiency of the organization. It is therefore important that program goal and corresponding communication objectives are established in Recreation and Wellness intranet project. Communication management plan consists of the following elements which should be taken care of in this project.
